Professional Email Hosting for Namibian Businesses
Set up professional email at your own domain. Why [email protected] beats Gmail for credibility, and how to get started.
Your email address is often the first piece of business identity a potential client sees. Before they visit your website, before they see your premises, before they shake your hand, they read your email address.
A professional email address at your own domain is one of the fastest, most affordable ways to signal that you are a serious, established business.
Why Professional Email Matters
When a client receives an email from [email protected], they see:
- A business with its own domain
- An operator who has invested in professional infrastructure
- A credible, established entity
When that same email comes from [email protected], they see something different. Not necessarily negative, but different. For many clients, especially corporate clients, government entities, and established businesses, a Gmail address raises unconscious doubt about the scale and permanence of your operation.
This is especially true when you are:
- Quoting on a contract
- Following up with a corporate client
- Sending invoices
- Communicating with government departments
- Applying to be a supplier or service provider
The difference between winning and losing business sometimes comes down to signals of credibility. A professional email address is one of the cheapest credibility signals available.
Gmail vs. Custom Domain Email: A Direct Comparison
| Factor | Gmail / Free Email | Custom Domain Email | |--------|-------------------|---------------------| | Cost | Free | N$299/month for 5 accounts | | Credibility signal | Low to neutral | High | | Brand consistency | None | Matches domain and website | | Multiple accounts | Personal only | Team accounts at your domain | | Storage | 15 GB (shared with Drive) | Per-account allocation | | Spam filtering | Basic | Configurable, business-grade | | SPF/DKIM/DMARC | Not configurable | Fully configured | | Email deliverability | Good | Excellent when properly configured | | Technical control | None | Full control |
The monthly cost is modest. The credibility gain is disproportionately large.
What Is Included in Email Hosting
Our professional email hosting package at N$299/month gives you five email accounts at your domain, along with everything needed to send, receive, and manage email professionally.
Mailboxes at your domain: Create accounts like [email protected], [email protected], [email protected]. Each account is independent with its own inbox, sent items, and storage.
Webmail access: Access your email from any browser at webmail.yourdomain.com.na. No software installation required. Works on any device, anywhere.
IMAP and SMTP support: Connect your accounts to any email client: Outlook, Apple Mail, Gmail app, Thunderbird. Email syncs across all your devices in real time.
Spam filtering: Business-grade spam filtering reduces the volume of junk mail reaching your inbox. Filters are tunable so legitimate email is not blocked.
Sent email copies: All outgoing mail is stored in your Sent folder, accessible from any device.
SSL-encrypted connections: Your email connection is encrypted in transit. Credentials and message content are protected.
Catch-all address option: Any email sent to an address that does not exist at your domain (mistyped or old addresses) can be caught by a single inbox rather than bouncing.
SPF, DKIM, and DMARC: Why They Matter (Simply Explained)
These three terms sound technical but they solve a real business problem: making sure your emails arrive and are not marked as spam.
SPF (Sender Policy Framework): A record in your domain's DNS that tells the internet "only these mail servers are allowed to send email from our domain." Without SPF, spammers can send email pretending to be from your domain, and recipient mail servers may block or distrust email from you.
DKIM (DomainKeys Identified Mail): Adds a digital signature to every email you send. Recipient mail servers verify this signature to confirm the email genuinely came from your server and was not tampered with in transit.
DMARC (Domain-based Message Authentication, Reporting and Conformance): Builds on SPF and DKIM to tell receiving servers what to do if an email fails authentication: reject it, quarantine it, or allow it. DMARC also provides reporting so you can see if anyone is spoofing your domain.
All three are configured for every DIC email hosting account. You do not need to set them up yourself.
The practical result: Your emails reach your clients' inboxes instead of their spam folders, and nobody can impersonate your domain without detection.
Setting Up Email on Your Phone and Computer
Once your email hosting account is active, you can connect it to any device using these settings.
Incoming mail (IMAP):
- Server: mail.yourdomain.com.na
- Port: 993
- Encryption: SSL/TLS
Outgoing mail (SMTP):
- Server: mail.yourdomain.com.na
- Port: 465 or 587
- Encryption: SSL/TLS or STARTTLS
- Authentication: Your full email address and password
On iPhone or Android: Use the built-in Mail app or any third-party app (Outlook mobile, Gmail app). Select "Other" or "IMAP" when adding the account and enter the server settings above.
On Windows (Outlook): Add account, select "IMAP", enter the server settings above. Outlook will configure itself.
On Mac (Apple Mail): Add account, select "Other Mail Account", enter your email address and password. Apple Mail will attempt to auto-configure; if it does not, enter the IMAP settings above.
If you encounter any difficulty setting up your email client, our support team at [email protected] will walk you through it.
How Many Email Accounts Do You Need?
The N$299/month package includes 5 email accounts. For most small Namibian businesses, this covers:
- info@ or hello@ for general enquiries from the website
- yourname@ for your personal business correspondence
- invoices@ or admin@ for financial communications
- support@ or care@ for customer support
- One spare for a second team member, or a departmental address
If you need more than 5 accounts, contact us at [email protected]. Additional accounts can be added to your package.
If you need email hosting as part of a complete web and hosting package, see our Managed Business Presence (MBP) which includes unlimited email accounts.
Email Hosting vs. Web Hosting
Email hosting and web hosting are related but separate services.
Web hosting stores your website and makes it accessible via browser.
Email hosting manages your mailboxes, incoming and outgoing mail, and all the DNS records that make email delivery work.
You can have email hosting without web hosting (if you are not ready for a website yet, or your site is hosted elsewhere). You can also have web hosting without professional email, though we recommend against it.
All DIC web hosting packages include email hosting. If you need email only, the standalone package is N$299/month for 5 accounts. See info.na/pricing for full details.

Frequently Asked Questions
Can I keep my old Gmail while switching to professional email?
Yes. There is no obligation to close your Gmail account. Many businesses run both for a period while transitioning. Over time, your professional address becomes primary as clients update their contacts.
Will my professional email work if I am outside Namibia?
Yes. IMAP email works from anywhere in the world. Webmail is accessible from any browser. Traveling business owners or those based remotely access their email without any restriction.
Can I set up an auto-reply when I am out of office?
Yes. Auto-replies (out-of-office messages) are available through webmail or any IMAP client that supports the feature.
What happens to my email if I cancel hosting?
You retain access to your email archive as long as your domain is active. We provide a 30-day notice period before any account suspension, during which you can export your email data.
Can multiple people share one inbox?
Shared mailboxes are possible but require a specific configuration. For a small team, it is simpler and more secure for each person to have their own account. Contact [email protected] to discuss shared inbox arrangements.
Is there a limit on email attachment size?
Standard attachment limits apply (up to 25 MB per message). For sharing large files, we recommend a file-sharing link rather than email attachments. Large attachments slow delivery and often fail on mobile connections.
